Policies and Procedures

Grievance Policy Procedure

LWA Academy will comply with all legal and ethical responsibilities to be non-discriminatory in promotional activities, program content and in the treatment of program participants. Monitoring and assessing compliance with these standards will be the responsibility of the Program Director in consultation with the group advisor assigned to Grievances and all other Advisory Group members.

While LWA Academy goes to great lengths to ensure fair treatment for all participants and attempts to anticipate problems, there will be occasional issues which come to the attention of the convention staff which require intervention and/or action on the part of the convention staff or an officer of LWA Academy. This procedural description serves as a guideline for handling such grievances.

1. When a participant, either orally or in written format, files a grievance and expects action on the complaint, the following actions will be taken. If the grievance concerns a speaker, the content presented by the speaker, or the style of presentation, the individual filing the grievance will be asked to put their comments in written format, on the Participant Grievance Form. The LWA Academy Program Advisor for Grievance will then pass on the comments to the speaker, assuring the confidentiality of the grieved individual. All submitted grievances and LWA Academy responses will be filed with course material.

2. At times, LWA Academy may provide workshops as part of a convention program. If the grievance concerns a workshop offering, its content, level of presentation, or the facilities in which the workshop was offered, LWA Academy will ask the convention chair to mediate and to be the final arbitrator. If the participant requests action, LWA Academy will request that the convention chair:

a) attempt to move the participant to another workshop or
b) provide credit for a subsequent year's workshop or
c) provide a partial or full refund of the workshop fee.

3. If the grievance concerns an LWA Academy course, the LWA Academy Advisor for Grievance will attempt to arbitrate.

For information on how to submit a grievance, please read more here. You may also download a Grievance Form here.

Policy and Procedure Concerning Potential Conflicts of Interest

LWA Academy is committed to the identification and resolution of potential conflicts of interest in the planning, promotion, delivery, and evaluation of continuing education. Potential conflicts of interest occur when an individual assumes a professional role in the planning, promotion, delivery, or evaluation of continuing education where personal, professional, legal, financial, or other interests could reasonably be expected to impair his or her objectivity, competence, or effectiveness.

Potential Conflicts of Interest in the Planning of Continuing Education

The LWA Academy CE Program Administrator is responsible to identify, declare, and resolve any potential conflict of interest that we may have in offering any specific program of continuing education. In the event of a potential conflict of interest, The LWA Academy CE Program Administrator will assume responsibility to resolve the potential conflict by clearly documenting those relationships on any and all marketing materials for the event, including but not limited to registration information, confirmation emails, and announcements that are distributed to all potential attendees.

LWA Academy requires that professionals participating in the planning of continuing education identify any potential conflict of interest they may have in the review, selection, development, delivery, or evaluation of that program and disclose the conflict or recuse themselves from any decision-making concerning that program. In the event of a potential conflict of interest, The CE Program Administrator will ensure that the individual recuses him or herself from the planning process.

Potential Conflicts of Interest in the Promotion of Continuing Education

When preparing promotional material for continuing education, LWA Academy includes information concerning any financial support, including in-kind support, provided by another party. LWA Academy also informs potential participants of any potential conflicts of interest for an instructor. If there is no financial support or any potential conflict of interest or commercial support, LWA Academy will ensure that is clearly stated in the promotional material. If information about financial support or any potential conflict of interest is not included in the promotional material prepared for continuing education, LWA Academy will clearly indicate how a potential participant can secure that information.

Potential Conflicts of Interest in the Delivery of Continuing Education

LWA Academy requires that there is a process to clearly describe any financial support for a continuing education program at the time the continuing education program begins. Any other relationship that could be reasonably construed as a conflict of interest will also be disclosed. If there is no financial support or potential conflict of interest, LWA Academy will ensure that this is clearly stated when the continuing education program begins. These disclosures of conflict, or no conflict, will also be included on a separate slide in all power point presentations.
